Vine Church Event Organiser Agreement Form

When attending the Vine Church I agree to follow the following as detailed more fully in  our Coronavirus Action Plan.

  1. Entry to the building. I will ensure I do not enter the building if the answer to any of the following questions is YES:

  1. Do you have a new or continuous cough?
  2. Do you have a high temperature?  (“A high temperature is feeling hot to the touch on your chest or back (you don’t need to measure your temperature). You may feel warm, cold or shivery.” )
  3. Do you currently have a loss of taste or smell?
  4. Have you been in contact with someone with the above symptoms and been asked to self-isolate or been in contact with a confirmed case or Coronavirus

2.  I will ensure I follow hygiene measures as detailed below to help prevent spread of Coronavirus:

  • Perform hand hygiene regularly using soap and water or alcohol based hand rub particularly before and after eating.

  • Avoid touching eyes, nose and mouth with unwashed hands.
  • Avoid direct contact with people that have a respiratory illness wherever possible.
  • Avoid using personal items (e.g. mobile phone) of people that have a respiratory illness wherever possible. Cover the nose and mouth with a disposable tissue when sneezing, coughing, wiping and blowing the nose. Dispose of all used tissues promptly into a waste bin. If you don’t have any tissues available, cough and sneeze into the crook of the elbow. Wash hands at the first opportunity.


3.  I will follow the one-way system in place at the Vine Church and I will follow the guidelines for use of toilets (no more than 2 ladies/ one gent to use the toilets at one time)

4.  I will ensure I keep 2m social distancing at all times within the Vine Church building.

5.  If someone develops Coronavirus symptoms I will respond quickly as detailed in Action Plan and  I will inform the Vine Conference Centre manager immediately.

6.  I will ensure I wear a Face Covering at all times within the Vine Church building.  The band on stage during rehearsal and filming will not be required to wear a face mask but must ensure all other mitigation measures are followed.  I will follow the advice given on Face Coverings*:

  • wash your hands thoroughly with soap and water for 20 seconds or use hand sanitiser before putting a face covering on, and after removing it
  • when wearing a face covering, avoid touching your face or face covering, as you could contaminate them with germs from your hands
  • change your face covering if it becomes damp or if you’ve touched it
  • continue to wash your hands regularly
  • change and wash your face covering daily
  • if the material is washable, wash in line with manufacturer’s instructions. If it’s not washable, dispose of it carefully in your usual waste
  • practice social distancing wherever possible

7.  I will ensure no provision of or sharing of food on the premises.

8.  I have assessed the demographics of my group as detailed in Vine Conference Centre Coronavirus Plan and am fully satisfied that it is safe for my event to go ahead for example for those over 70 and those from BAME backgrounds.

9.  I will ensure all attendees are registered on Vine Church Registration form online or printed off and the form is handed to Mr Tim Thomson, Vine Conference Centre manager.

*The Scottish Government have published guidance on use of face coverings.[13]The guidance also contains detail of exemptions and reasonable excuses not to wear a face covering.

In it’s guidance for the safe use of places of worship the Scottish government recommends:

Face coverings

“In enclosed spaces, where physical distancing is more difficult and where there is a risk of close contact with multiple people who are not members of your household, you should wear a face covering.

This will be particularly important where interactions within a 2 metre distance are essential for faith-specific requirements, although these interactions should be avoided.

The wearing of face coverings must not be used as an alternative to other precautions including physical distancing, hand washing and respiratory hygiene.”[14]

As a result, we will ask everyone using the church to wear a face covering until they are seated.  The seats will be arranged to be at least 2m apart so that people can remove their face covering if they wish, as the risk of close contact is greatly reduced.  A face covering should be work before and after the service ends and if going to the toilets.

Lots of people attend church here every Sunday. We meet at 11am with tea and coffee available from about 10:30am in the foyer.
